LekhaPro Fleet & Logistics is a Cloud-edition transport pack: vehicles, drivers and rate cards with a compliance expiry radar, a trip → consignment (LR) → delivery → freight-bill lifecycle on the core invoice path with GTA reverse charge, per-kilometre profitability per vehicle, route and customer, driver wallets with safety scores, and workshop job cards that post to the General Ledger.

How it works

  • The fleet, on the record

    A vehicle category taxonomy down to variant, registration with engine, chassis and VIN plus finance and hypothecation, an allocation ledger of branch, depot, cost-centre and project transfers, tyres fitted and removed, and a compliance radar for insurance, fitness, permit and licence expiry.

  • Trip → LR → delivery → freight bill

    Plan, dispatch and complete trips with fuel, toll and expense capture. Book consignments as LRs against a rate card with a live lane resolver, assign them to a trip, mark them delivered and issue a delivery challan. Then select delivered LRs and raise one freight bill through the same invoice path as the rest of the books, with a GST rate and a GTA reverse-charge toggle.

  • Cost per kilometre, not cost per guess

    Trip profitability rolls freight revenue against fuel, toll, maintenance, driver and other cost into profit, margin in basis points and a cost-per-km. Fleet costing extends that to margin, ROI and per-km economics per vehicle, driver, route and customer with a profit-ranked table — and buying a vehicle capitalises it as a depreciating fixed asset, with gain or loss stamped on disposal.

  • Driver, workshop and incident

    A running-balance driver wallet with trip, night, daily and incentive allowances, and a 0–100 safety score graded safe, watch or risk where a penalised incident debits the wallet. Workshop job cards accrue entered labour and issued parts, and closing one posts a single maintenance expense to the General Ledger, backed by a spare-parts ledger with a below-reorder radar. An accident register carries claim, settlement and recovery through to net cost to the company.

  • Beyond the truck

    Warehouse docks with an inbound → putaway → pick → pack → dispatch task queue; a container yard where each movement updates live status and accrues handling and demurrage; multi-modal shipments across ordered road, rail, air and sea legs; last-mile delivery runs with POD, failure reasons and attempt counts; a courier network advanced scan by scan with bags moving hub to hub; and cold-chain zones that auto-raise a breach alert the moment a reading leaves the permitted band.

E-way bill thresholds are state-notified — know your number

Transport is where state rules bite hardest per kilometre. The intra-state e-way bill threshold is set by each state's own notification — ₹50,000 in many, ₹1,00,000 in several, goods-specific carve-outs in a few — and a transporter crossing three states in a day answers to all three. The table below states the threshold for every state we publish a city page in, each with its notification and checked date; unverified rows say so rather than printing a stale figure, because a wrong threshold is a detained consignment. LekhaPro generates the e-way bill JSON from the consignment either way.

Fleet & Logistics software by city

The software is identical in each — these pages exist because the local trade and the state facts differ, not because the product does. Nothing is city-locked.

What it does not do

  • · Cloud-only — the Fleet & Logistics pack runs in a browser and is not part of the offline Windows desktop edition.
  • · No live GPS telematics — the model is GPS-ready and positions arrive through the app; wiring a tracking provider is a documented seam, not a shipped feature.
  • · No customer self-service tracking login yet — track-by-LR and party-scoped statements are staff-callable reads; a consignor portal is deferred.
  • · It does not file GST returns or choose your GTA regime for you — freight bills post to the books either way; the election is your CA's conversation.
  • · No payroll or HR (driver wallets are settlement ledgers, not payroll), and no branch offices — support is online from an India-based team.

Questions buyers ask

How is this different from your warehouse management page?

That page is the offline desktop edition’s multi-godown stock — transfers, batch and expiry, reservations. This is the cloud Logistics & Fleet pack: the vehicles, drivers, trips and freight bills that move the goods, with a WMS-lite dock and task board included. It is enabled from Business Add-ons in the browser app and does not run in the desktop edition.

Does it track vehicles live by GPS?

The model and screens are GPS-ready — a position sink, the latest position on an LR lookup and a milestone timeline — but there is no telematics device integration in this build. Positions arrive through the app; wiring a live GPS provider is a documented seam, not a shipped feature.

Can my customers track their own consignment?

The reads exist — track by LR number for status, milestones and latest position, plus a party-scoped view of a consignor’s consignments, freight bills and statement. Today those reads take an explicit party id and are staff-callable; a separate self-service portal login is deferred, the same pattern the real-estate buyer statement started from.

Does fleet cost reach my books, or sit in a silo?

It reaches the books. Fuel, toll and maintenance post as expenses, closing a workshop job card posts one maintenance expense to the General Ledger, freight bills are ordinary GST sales invoices, and an owned vehicle capitalises as a fixed asset that depreciates. There is no parallel ledger to reconcile.

How does GTA reverse charge work on freight bills?

Every freight bill carries a GST rate and a GTA/RCM toggle: billed under reverse charge, the tax is payable by the recipient and your invoice says so; under forward charge, it is taxed on your bill. Which regime applies follows the option you have exercised as a goods transport agency — the software bills correctly for either, and the election is a conversation with your CA.

What stops a truck being idled by an expired permit?

The compliance radar — insurance, fitness, permit and licence expiry tracked across the fleet, surfacing renewals before a checkpost does. Tyres, finance and hypothecation live on the vehicle record, and an owned vehicle capitalises as a depreciating fixed asset with gain or loss stamped on disposal.

Can it price a lane honestly?

Per kilometre: trip profitability rolls freight revenue against fuel, toll, maintenance, driver and other cost into margin and cost-per-km, and fleet costing ranks vehicles, drivers, routes and customers by profit. The lane that stays busy while earning nothing is exactly what that table exposes.

What does it cost?

We run godowns and last-mile too — one system or three?

One: warehouse docks with task queues, container yards accruing handling and demurrage, multi-modal road-rail-air-sea legs, last-mile runs with POD and failure reasons, courier bags advancing scan by scan, and cold-chain zones with breach alerts — all posting into the same books as the trucks.

Why separate city pages for fleet software?

Because the rule that bites a transporter hardest — the intra-state e-way bill threshold — is set by each state's own notification, and the trade itself differs by corridor: port haulage in one city, hill transhipment in another. Each city page carries its state's threshold with the notification cited; the software is identical everywhere.
