What this actually means in practice

A sales order is the first document in the cycle that commits you to anything. The quotation was an offer; the order is acceptance, and from that moment the quantity on your shelf and the quantity you may still promise are two different numbers. Businesses that sell from one figure oversell — the counter sees stock that is already spoken for on an order booked by somebody else that morning.

LekhaPro keeps reservation deliberately soft. An order that opts into reservation writes an available-to-promise entry, so free-to-sell reads as on-hand less what is reserved, while the valuation ledger — FIFO or weighted average — is untouched. Nothing is costed, no journal is posted and no GST arises. Converting the order to an invoice consumes its reservations; cancelling releases them, so a lapsed order never quietly holds stock hostage.

Few orders ship in one go. A line can be part-delivered, the balance carried as a backorder, and the order itself sits open, partial or closed with a delivery status you can filter on. Each despatch converts into an invoice or a delivery challan for the quantity actually sent, so the open-order book always shows what is still owed to customers rather than what was originally written.
