What this actually means in practice

A computer shop sells three different things from one counter: branded laptops and printers that carry a manufacturer serial and warranty, loose components — RAM, drives, cabinets, power supplies — that get assembled into a system on the customer’s order, and consumables and accessories. An assembled machine is billed as one job but consumes several serial-bearing parts, each with its own warranty period running from the invoice date. Service and AMC work follows the same customers.

Billing therefore has to hold serials against the invoice, not just against the stock. Serial-tracked items record the number at purchase and again at sale, so a warranty or service claim months later resolves to a specific invoice and buyer. Components consumed in an assembly leave stock at cost, keeping the margin on the finished machine honest. AMC and service charges bill alongside goods on the same GST invoice, and everything posts to double-entry books.

  • · No distributor price feed: component costs update from your own purchase entries or an import, not from a supplier’s live daily price list.
  • · Payroll is not included, TallyPrime data does not import on its own, and the Desktop edition is Windows-only.

A customer comes back after a year with a fault — how do I find what I sold?

Search by serial number. A serial-tracked item records its number at sale, so the lookup returns the invoice, the date and the buyer, which is what a warranty claim needs. For an assembled machine, the parts consumed on that job are on the same record, so you can tell whether the failed component was the drive you fitted or something added later.

Can one invoice carry both the machine and the AMC?

Yes. Goods and service lines sit on the same GST invoice, each with its own HSN or SAC and the rate notified for it, so a customer buying a system with a two-year contract gets one document. The service portion posts to its own income account in the ledger, which keeps hardware margin and service revenue separate in the P&L.
