What this actually means in practice
A Balance Sheet is not typed, and it is not a report you fill in. It is a re-presentation of ledger balances that already exist, grouped by what each account is: capital, borrowings, creditors and provisions on one side; fixed assets, stock, debtors, cash and bank on the other. Change a voucher in April and the statement as at March changes with it, because the statement never held numbers of its own to begin with.
It balances because every voucher posted equal debits and credits, so the identity is arithmetic rather than aspiration. That has a practical consequence worth stating: a Balance Sheet cannot fail to balance, but it can certainly be wrong — an unclassified ledger, an entry parked in suspense, closing stock never brought in. The Trial Balance is where those are found, and drill-down takes any line to its ledger and then to the voucher beneath.
Who is reading it decides the format. An owner reads the trading presentation: what came in, what it cost, what remained. A lender reads liquidity and leverage — current assets against current liabilities, debtor and stock days, how much is the promoter’s money and how much is borrowed — and asks, in the second meeting, to see the voucher behind a figure. A company filing under the Companies Act needs the Schedule III presentation, with the prior year alongside.
